In the case of the Lublin Metropolitan Area Association, Asana was implemented at a particularly important moment: while preparing to operate in a shortened, four day work week.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">In our conversation with representatives of the Association, we discuss what the implementation process looked like, what organizational needs led to the decision to choose Asana, and how the tool supports the team in daily communication, task planning, and maintaining work continuity. Thank you for agreeing to take part in our meeting. Today, we will talk a little about the implementation of Asana at the Lublin Metropolitan Area Association, which took place in December 2025.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">We would like to briefly discuss how the implementation was carried out, whether you evaluate it positively, and above all, how it supported you in the four day work week. For now, let us start from the very beginning. I would like to ask what business need was behind the decision to implement Asana in your organization.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Rados\u0142aw Guz<\/strong>&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Good morning. My name is Rados\u0142aw Guz and I am the office director of the Lublin Metropolitan Area Association.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Yes, indeed, we are one of the entities taking part in the ministerial project concerning a shortened work week.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The decision to use a tool in the form of the Asana platform was driven by the need to improve communication within the team. In connection with this project, team communication was limited to four days a week. When it comes to task allocation and team communication, this tool was meant to help us organize the work of the entire team.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Micha\u0142&nbsp;Ejmont<\/strong>&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Thank you very much, Rados\u0142aw, for your answer.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Continuing the topic of the four day work week, I would like to ask how Asana supported you in this transition. Which functions were you able to use? Could you say a few words about the actual impact Asana had here?&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Rados\u0142aw Guz<\/strong>&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A very important element is the possibility of using the platform to assign tasks, monitor the time needed to complete them, and receive feedback from the team on the progress of these tasks.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">We are a group that carries out quite a large number of projects. Employees are responsible for individual projects, and assigning tasks or specific elements to be completed often overlaps or is connected with the fact that someone is busier and is working on another task.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Thanks to the software, we can then see that a given person is unavailable at a particular moment or is working on other tasks. This makes it easier to plan project tasks and complete individual tasks assigned to specific employees.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This is probably the main added value when it comes to using this type of tool in project delivery, especially when there are several projects and individual people in the teams are dealing with different topics.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Wojciech&nbsp;Kutnik<\/strong>&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If I may, I would also add something from my perspective, because the director spoke about it from a management point of view. I can also speak from the perspective of an employee for whom this system helps manage their own work.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Previously, I operated by writing down different processes and things on pieces of paper. Here, I can keep everything in one place. The interface is friendly enough that I can see the entire structure and I know what I am doing, when, and in what order. I am confident that I will not forget anything.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">It is organized for me, and it is easier to keep track of certain processes or even build my own self discipline in order to achieve the results I want.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If we combine our employee level ways of working and using Asana, then of course from the management perspective the whole project will function much better and will be delivered more effectively.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The director has everything under control and knows where delays appear, where there are difficulties, or whether someone is overloaded. He can therefore respond from his level and from his perspective.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Micha\u0142&nbsp;Ejmont<\/strong>&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Great, it is very nice to hear that. We are pleased because, in fact, when planning the implementation and preparing for it, we had many goals in mind: improving project management, transparency, and reporting.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">It is good to hear that your work is easier and that you have managed to move from paper notes to information that can be easily displayed in the system and shared with one another.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">I would like to go back to the implementation and hear a few words about how the Asana implementation took place in your team. How do you assess this implementation process?&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Rados\u0142aw Guz<\/strong>&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Thank you, Micha\u0142, for the support you provided, because it was invaluable. Your cooperation with Pawe\u0142, the meetings, and going through the entire process made the implementation, thanks to you and your cooperation, smooth, light, easy, and pleasant.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Here, once again, I would like to acknowledge Pawe\u0142 for setting up the system for us. In fact, workstation by workstation, person by person, point by point, we were able to go through the implementation itself.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">We became familiar with the system, its possibilities, and the various features of the platform: what can be done, how a task can be assigned to someone, how something can be placed on the platform, and how documentation can be exchanged.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">I believe that the implementation itself was effective, even though it took place during the normal operation of the office and while projects were being delivered. It was an additional task that entered into the rhythm of project delivery. It was not the case that we finished one thing and only then started another. We were implementing this mechanism on a living organization, and I believe we did it quite effectively.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Micha\u0142&nbsp;Ejmont<\/strong>&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Yes, this is exactly the challenge that accompanies all our implementation projects: implementing Asana even though there are many other projects running at the same time.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Companies often prepare for implementation and are aware that it involves a lot of work, but the key is to organize it in such a way that the space is properly arranged: to prepare through a pilot, select specific processes, and implement them one by one.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">With such implementations, it is very important to make sure from the very beginning that ongoing work is not interrupted. I am also satisfied and thank you for these words, Rados\u0142aw. I am glad we managed to carry this out.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Zuzanna Pajdosz<\/strong>&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">It has already been six months since the implementation of the Asana system. I wanted to ask how, from this perspective, you assess the comfort of working in Asana.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Pawe\u0142&nbsp;Skurski<\/strong>&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">When it comes to comfort of work, we got to know the system quite well already in the first days of implementation. Cooperation with Micha\u0142 and the other people who helped us made us feel comfortable in the system itself, and it seems that we know its possibilities well.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Now the most important work, or the most important task, depends on us, because discipline is needed, meaning continuous use of Asana and regular work in it.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">However, I think we move around the system well. All employees know the individual functions, and that is the most important thing. The initial days were crucial, meaning the first stage of implementation. I think we can confidently say that we got to know Asana well enough to later navigate it comfortably and work in it.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Rados\u0142aw Guz<\/strong>&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">I will also compare this system to other IT systems that I think we all use. It is like using text editors, without naming them. We use around 10% of the capabilities of such an editor, regardless of who the provider is.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">We use it so that we can write something, print it, or possibly send a message. However, the actual capabilities of most spreadsheets or available text editors are enormous. This becomes clear in practice, and only after some time do we discover new functions.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This is also what Pawe\u0142 mentioned. The essence is to begin functioning with a new tool. Over time, we start to discover new functions, new functionalities, and new ways of using this tool in our work.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">When it comes to the tool itself and the scope of its use, I think this simply emerges through work, depending on how often and how long we use a given system. Over time, we get to know more and more things.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">In the same way, each of us once started writing something on a blank page and later, after a month, two months, or more, learned how to create chapters, edit a table of contents, and so on.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">I always compare it to this kind of knowledge, although according to specialists, text editors are still used by users to a very limited extent. Currently, it is around 10 to 15%. I assume that we also do not use Asana at 100% when it comes to its possibilities.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Micha\u0142&nbsp;Ejmont<\/strong>&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Thank you for saying that, because this is an important issue that we always try to anticipate during implementation: which functions we will use. It is always a decision to be made, because as you said, not everything can be used.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Asana is a really extensive tool, although it seems intuitive at first glance. We create a project, create tasks, and we can already start working in it. However, beneath this simple layer there are truly interesting possibilities.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Our role, however, is not to show everything and say: \"you can use everything\", nor to train the team on every possible tool. The point is to select the most important ones and show the team the functions they will actually work with.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">You need to begin from a starting point so as not to overwhelm the team, because the first step toward becoming discouraged with Asana is misunderstanding it and being overloaded by the amount of information.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">What you are saying is very accurate: it is worth starting from a specific point and adding additional functions and views over time. Asana can also be introduced to further departments if we started with one selected area.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Just like with a text editor, Asana has capabilities that I believe you will still be able to use in the future, even though you have not yet had the opportunity to do so.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">I would like to ask you what advice you would give to companies that are starting an Asana implementation.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Rados\u0142aw Guz<\/strong>&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">From a manager's perspective, I would say this: Wojtek mentioned monitoring, that a manager has employee monitoring. To be honest, I do not see it that way. I see Asana simply as an information exchange platform.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">As for advice, I would say that a manager also sometimes has different responsibilities, and if they put them in Asana, then Wojtek or Pawe\u0142 can see, for example, that I am unavailable, that I am on a business trip, carrying out another project, or completely unavailable.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">They can then see that it will be difficult to obtain, for example, an electronic signature, because physically the manager will not be there. I am not even talking about vacation, although that is also important information that can be placed in Asana.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">What this tool has given me is, above all, the awareness that I am also needed in some process. It is not about suddenly monitoring employees thanks to this tool. Rather, communication within teams becomes flatter. You can assign something to someone, ask someone for something, and significantly improve communication.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Time is an important element here, especially in project delivery. We know that something must be done by a specific moment, and then we see that on a given day I need the team or Wojtek's support. This can be organized neatly without the need to call Wojtek or Pawe\u0142 and ask for details.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">It is certainly a good tool when it comes to improving communication within the team. I do not know how you see it, Wojtek, Pawe\u0142?&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Pawe\u0142&nbsp;Skurski<\/strong>&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Yes, absolutely. I think we can agree with that 100%.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">When it comes to advice for companies, employees, or Asana users, I would probably repeat the point I mentioned earlier: consistency and determination in using this tool are very important.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">It may also be important for employees and the manager to motivate one another to use the tool consistently. The benefits appear over time, and I think they are significant.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Wojciech&nbsp;Kutnik<\/strong>&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">I would add one more thing. In my opinion, the biggest challenge is that you need to give up other tools, because the point is to keep everything in one place.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Asana has a calendar, and you can also, as Radek said, know when someone is on vacation, exchange documents, write messages, and assign tasks. Everything is in one place.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If someone is tempted, or if someone is used to using other calendars, notes, or other tools, it makes work a little more difficult because not everything is kept in one place.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">What is needed is the determination that Pawe\u0142 mentioned and consistency in sticking to one tool. Then it really offers great possibilities, and there are no distractions or things that make work harder. Asana basically provides everything as a tool.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Micha\u0142&nbsp;Ejmont<\/strong>&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Yes, I saw you nodding while Wojtek was speaking. Changing habits is always difficult.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Here, we are dealing with a transformation project, so we are going through a major change. I must say that you have done a very good job and managed to go through this change, shifting from a five day to a four day work week. I imagine you are still experimenting and still working on it.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">I think you summarized it well.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Rados\u0142aw Guz<\/strong>&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Believe me, Micha\u0142, continuing this thought, first of all, we have a great team that can talk to one another and cooperate.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">However, this is also information for those who would like to use this system: it will not be easy. It will be a process that will require, as Pawe\u0142 and Wojtek said, certain sacrifices or a change of habits.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">It will be like riding a bike. Once we learn to ride, we will no longer even think about it. However, it must be said clearly that you need to devote some time to adapting to the new tool and grit your teeth. If you want things to be better, it will hurt a little at the beginning.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">I really think there is nothing to be afraid of, because it is like starting a driving course. At the beginning, everything about the car scares us. We do not know how to change gears, and when we get into a car with an automatic transmission, we are missing one pedal and also wonder what it is all about.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">However, once we learn to use this tool, it turns out to be very simple, basic, and intuitive. We are able to do it.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Zuzanna Pajdosz<\/strong>&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">I still have one last summarizing question. The main reason for implementing the Asana system was the transition to a four day work week, so I wanted to ask: does Asana actually help you function in a four day work model? Is it an effective tool in this respect?&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Rados\u0142aw Guz<\/strong>&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Yes, there is an issue here worth remembering. This project is intended to check whether, as teams, we are able to shorten working time in the country. The question is whether, by performing the same tasks, with the same salary, but spending less time in the office, we are able to maintain the quality and pace of work in the company.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">We chose Asana as a communication tool because we know that we will see and meet one another less often. At the same time, task delivery should remain at the same level.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">In practice, we see one another four days a week, and soon we will see one another even less often. This is where Asana helps: it allows us to maintain communication. The fact that Pawe\u0142 or Wojtek is not at work does not change the fact that certain information or tasks need to be passed on on a specific day.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Without this tool, I would have to write such things down on a piece of paper, as Pawe\u0142 or Wojtek said, leave notes on their desks, or send messages saying that something needs to be done by a certain time. Using Asana, we can pass this information through the tool.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">We know that when Wojtek is at work, this information will reach him. I do not want to say that I am entering his private time, meaning the time when he is not there, but if, for example, we miss each other on Friday, Wojtek has the day off and I am at work, I can calmly assign tasks to him. On Monday, when he comes to work, he already has this information.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This is the key to using this tool: even though we do not see one another, certain processes, especially those related to communication and assigning tasks, can continue to function. If Wojtek has a document for me to sign or something I should review, then even though we are not together in the office, he can pass it to me. He knows that when I come in or turn on my computer, I will receive this information.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">He also does not need to send the manager five emails or remind him that something needs to be done or that a meeting has been scheduled. Such things are automatically added to the calendar and update the task list, meeting list, and list of calls that need to be made.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This helps a lot in shortened working time, especially since in the next half year we will see one another even less often, as a team, in fact, three days a week.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Wojciech&nbsp;Kutnik<\/strong>&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">I would add more generally that we are testing a four day work week, but Asana helps more broadly with communication and task execution when we do not see one another.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">It can also be an effective tool for remote work, when everyone works in their own environment, at home or anywhere else, or when we are on business trips. Asana creates an environment where we meet virtually and are able to handle everything there: exchange documents, instructions, important messages, or requests for support.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">It is a kind of virtual office. We still see one another in the office, maybe for three days, but we do see each other. However, thanks to Asana, we maintain continuity. Even if we did not see one another, regardless of how many days a week we work, in my opinion Asana supports us.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Pawe\u0142&nbsp;Skurski<\/strong>&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">I would like to add one more sentence to what my colleagues said. In our case, we use Asana in shortened working time, with a four day work week. However, I think it is a tool that is general enough and offers enough possibilities that it will also work in traditional work systems.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">It will also work in remote work, in teams that work remotely a lot and do not have ongoing meetings. It should be emphasized that the tool needs to be adapted to your own needs and used appropriately.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">We use it with a four day work week, but it would also work very well in a full time model or in remote work.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Zuzanna Pajdosz<\/strong>&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Yes, from our perspective I wanted to add that both Micha\u0142 and I work 100% remotely.
